DART Bucks: UI Guide & Incentive Operational Workflow

How job coaches, managers and cashiers use the DartBucks Generator to reward clients on the spot, issue departmental cash drawers, and retire unused bills through the shred ledger.

Why Dart Bucks Exist

At DART, we believe every accomplishment deserves to be recognized.

Every day, our staff work alongside adults with disabilities who are learning new skills, gaining confidence, and becoming more independent. Throughout the day, we witness dozens of moments worth celebrating. A client may arrive on time every day for a week, proudly wear their DART shirt and ID badge, complete a difficult task without assistance, help another client, demonstrate outstanding customer service, or simply give their very best effort.

Those moments deserve recognition.

Historically, staff members often reached into their own wallets to buy a snack or small reward for someone who had gone above and beyond. While those gestures were incredibly generous, they also meant that encouragement depended on an individual employee's personal finances.

Dart Bucks were created so that rewarding positive behavior becomes part of DART itself—not something staff members have to personally fund.

Instead of buying a reward yourself, you simply hand the client Dart Bucks that they have earned. Those Dart Bucks can be spent inside the DART Thrift Shop on real merchandise, giving clients something tangible to work toward while reinforcing the positive behaviors we see every day.

Unlike one-time prizes or giveaways, Dart Bucks create an ongoing economy centered around encouragement. Every positive interaction has the potential to become an opportunity for recognition. Whether a client improves their attendance, demonstrates outstanding customer service, completes a task independently, or simply puts forth exceptional effort, staff have a consistent way to acknowledge that accomplishment.

More importantly, Dart Bucks create consistency. Every department follows the same reward system, every client has the same opportunity to earn them, and every accomplishment—whether large or small—can be recognized immediately.

The goal isn't simply to hand out play money.

The goal is to encourage confidence, responsibility, attendance, teamwork, professionalism, independence, customer service, financial responsibility, and pride in a job well done.

Sometimes a single dollar earned for making the right choice can become a favorite book, a coffee mug, a new shirt, a puzzle, a household item, or another special find from the thrift shop. Even more valuable than the item itself is the feeling that someone's effort was noticed.

Over time, those moments begin to build confidence. Clients begin setting goals, saving toward purchases they genuinely want, and seeing the direct relationship between positive workplace behavior and meaningful rewards.

That is what Dart Bucks are really for.


How Dart Bucks Are Distributed

The Dart Bucks Generator makes it easy to distribute currency in whatever way best fits each department.

Some departments may only need a handful of bills for occasional recognition, while others may reward clients throughout the day and require a larger monthly allocation. Because every department operates differently, the generator is designed to support several distribution methods.

Rather than every department independently printing currency whenever they need it, the program operates around a centralized distribution model.

Administration prepares department drawers, distributes them to department managers, and provides each participating job coach with a working supply. This keeps inventory organized while allowing staff to focus on recognizing clients instead of managing currency.


Monthly Department Allocations

One of the most common workflows is printing a monthly cash drawer for each department.

For example, Darlene may ask:

"Could you prepare a $200 Dart Bucks drawer for AM Retail for this month?"

Using the generator, staff can simply:

  1. Select Cash Drawer Mode.
  2. Enter the desired drawer amount.
  3. Select the current month.
  4. Set the expiration date.
  5. Print the completed batch.

The resulting drawer is counted, documented, and prepared for distribution.

Each department receives its own official Dart Bucks drawer in much the same way a register begins the day with a starting amount of cash.

The difference is that this drawer exists exclusively for recognizing positive workplace behaviors.

Departments are not required to receive identical allocations.

Instead, administration determines the appropriate amount based on the size of the department, the number of participating clients, and how frequently rewards are expected to be distributed.

A department serving one or two clients may require only a modest allocation.

Retail, Shredding, or larger departments working with many clients throughout the day may receive substantially larger monthly drawers.

This allows the reward program to remain fair while scaling naturally across the organization.


Department Drawers

Each department's drawer becomes its official monthly supply of Dart Bucks.

Department managers and job coaches distribute rewards throughout the month as clients demonstrate positive workplace behaviors.

Because every department maintains its own inventory, rewards are always available when accomplishments happen.

There is no need for staff members to purchase rewards with their own money or wait for scheduled recognition events.

Recognition becomes part of the normal workday.

As drawers begin running low near the end of a circulation period, administration can prepare the next month's allocation while documenting every drawer issued.

This creates a repeatable workflow that remains organized regardless of how many departments participate.


Job Coach Working Supplies

In addition to each department receiving its own official drawer, job coaches can also receive their own working supply of Dart Bucks.

The purpose of this working supply is different from the department drawer.

Rather than acting as the department's recognition budget, the job coach supply allows everyday exchanges and immediate recognition without interrupting workflow.

The amount each job coach receives may vary depending on department size.

A smaller department may only require a modest working supply.

Larger departments serving many clients throughout the day may receive additional currency.

This flexibility allows administration to tailor allocations to each department rather than forcing every department to operate identically.


Everyday Rewards

The majority of Dart Bucks distributed directly to clients are expected to be $1 and $5 bills.

Smaller denominations encourage frequent recognition while teaching the value of saving.

Rather than waiting until a client has earned a large reward, staff can immediately acknowledge positive behaviors throughout the day.

Examples include:

  • Arriving on time.
  • Wearing a DART shirt.
  • Wearing an ID badge.
  • Demonstrating teamwork.
  • Helping another client.
  • Completing tasks independently.
  • Practicing good customer service.
  • Maintaining a clean workstation.
  • Following safety procedures.
  • Showing consistent effort.

Small accomplishments deserve immediate recognition.

Those small rewards naturally accumulate into meaningful savings over time.


Teaching Financial Responsibility

One of the most valuable aspects of the Dart Bucks program is that clients naturally practice financial responsibility while participating.

Rather than simply receiving prizes, clients begin learning how money works.

Clients learn to:

  • Save over time.
  • Set goals.
  • Delay gratification.
  • Compare prices.
  • Budget their rewards.
  • Decide between spending now or saving for something larger.

  • Two $10 Dart Bucks can be exchanged for one $20 Dart Buck.
  • Additional exchanges can continue as savings grow.

The client's balance never changes.

The bills are simply consolidated into larger denominations, much like exchanging currency at a bank.

This keeps wallets organized while allowing clients to continue saving for larger purchases over several months.

Because job coaches maintain these larger denominations, clients rarely receive $10 or $20 bills directly through everyday rewards.

Instead, larger bills primarily exist to simplify long-term saving.


Special Events

Larger denominations become especially useful during organization-wide events.

Holiday parties, karaoke nights, attendance challenges, community activities, and other special events provide opportunities to award larger prizes than would normally be distributed during everyday work.

For example, the winner of Karaoke Night might receive 40 Dart Bucks in the form of two $20 bills.

Attendance competitions may award $20 Dart Bucks.

Holiday games may distribute bonus rewards to winning teams.

These larger prizes create memorable moments while continuing to use the exact same currency system clients already understand.

This keeps every reward connected to one consistent economy throughout the organization.


Organization-Wide Monthly Printing

Another common workflow is preparing every department at once.

Instead of generating one drawer at a time, administration can print every department's monthly allocation during one organized printing session.

For example, the beginning of the month may involve generating Dart Bucks for:

  • AM Retail
  • PM Retail
  • Donations
  • Commercial Services
  • Janitorial
  • Shredding
  • Landscaping
  • Transportation
  • SLS
  • Reception
  • Administration
  • Additional department requests

Each department receives:

  • An official drawer.
  • Bill counts.
  • Audit documentation.

Once complete, every department's drawer can be distributed by Darlene or another administrator before the beginning of the next circulation period.

Security Philosophy

One of the primary reasons previous Dart Bucks programs became difficult to maintain was security.

Rather than overcomplicating the system from day one, this version was intentionally designed around progressive security.

Only the level of security that is actually needed has to be enabled.

Additional security measures remain available if the program grows in the future.

This keeps the program simple for staff, fair for clients, and sustainable over the long term.


Security Layer One — Monthly Themes

The first layer of security is visual.

Every month receives its own official color palette and design theme.

Staff can immediately recognize which month's currency is currently in circulation simply by looking at the bill.

If necessary, an entire month's currency can be retired simply by changing to the next month's design.

This provides an effective layer of security without requiring any additional technology.

Security Layer Two — Controlled Circulation

The second layer of security focuses on circulation rather than individual bills.

Instead of allowing Dart Bucks to remain active forever, administration can control how long each batch stays in circulation.

Although every month receives its own unique color theme, the organization does not necessarily need to invalidate currency every month.

In fact, one of the primary goals of the Dart Bucks program is encouraging clients to save.

Because of this, multiple months of currency can remain valid at the same time.

A quarterly circulation schedule is one possible approach.

For example, January, February, and March currency could all remain valid until the end of the quarter before being retired together.

This gives clients enough time to save toward meaningful purchases without feeling pressured to spend their Dart Bucks immediately.

The exact circulation schedule can always be adjusted based on the organization's needs.

The important part is that the platform already supports rotating currency whenever administration decides it is appropriate.


Security Layer Three — Optional Serial Numbers

The final layer of security is individual serial numbers.

Unlike the monthly themes, serial numbers are intentionally optional.

Many organizations may never need them.

However, if the Dart Bucks program continues growing, serial numbers can provide another level of accountability.

Each printed bill can receive its own unique identifier.

Those identifiers can later be used for auditing, investigating lost currency, identifying the originating print batch, or tracking bills throughout their lifecycle.

The important design philosophy is that serial numbers do not need to be enabled immediately.

The platform was built to support them in the future without changing how staff members already use the system today.

This keeps the reward program approachable while still allowing it to grow into a much more sophisticated platform if needed.


Operating with Simple Security

Although three different security layers exist, our recommendation is to begin with the simplest workflow possible.

Monthly themes alone provide an excellent balance between security and usability.

Clients are able to save over longer periods without constantly worrying about expiration dates.

Staff members spend less time managing paperwork and more time recognizing positive behavior.

Administration still maintains complete control over circulation while preserving flexibility for future expansion.

As participation increases, additional security measures can be enabled one layer at a time without disrupting the reward program.

The goal is not to create unnecessary complexity.

The goal is to create a reward system that is enjoyable, sustainable, and easy to understand for everyone involved.


Accountability

Every Dart Buck has a lifecycle.

The process begins the moment administration generates a department drawer.

From there, every drawer is documented, counted, and distributed to the appropriate department.

Throughout the circulation period, Dart Bucks move from department drawers into the hands of clients as they earn recognition for positive workplace behaviors.

Clients may redeem their Dart Bucks at the DART Thrift Store, continue saving toward larger purchases, or exchange smaller denominations for larger ones through their job coach.

Eventually, bills reach the end of their circulation period.

Expired, damaged, or retired currency is collected, documented, and transferred to the DART Shredding Department for secure destruction.

This creates a complete lifecycle from creation to retirement while maintaining accountability throughout the entire process.


Complete Operational Workflow

The entire Dart Bucks program follows a repeatable workflow designed to minimize administrative effort while maximizing client engagement.

  1. Administration determines monthly department allocations.
  2. Darlene requests the required department drawers.
  3. The Dart Bucks Generator produces each department's monthly allocation.
  4. Drawers are counted, verified, and documented.
  5. Department managers receive their official drawers.
  6. Job coaches receive their working exchange supplies.
  7. Clients earn primarily $1 and $5 Dart Bucks through positive workplace behaviors.
  8. Job coaches exchange accumulated smaller denominations into larger bills as clients continue saving.
  9. Larger denominations may also be awarded during organization-wide events and celebrations.
  10. Clients redeem Dart Bucks in the DART Thrift Store whenever they choose.
  11. At the end of the circulation period, retired currency is collected and securely shredded.
  12. Administration prepares the next circulation period and the process begins again.

Because each step is standardized, every department follows the same operational model while still maintaining flexibility in how rewards are distributed.


Future Possibilities

Although the initial rollout focuses on keeping the system simple, the platform was intentionally designed with future expansion in mind.

Potential future additions include:

  • Automatic serial number generation.
  • Department inventory reports.
  • Monthly distribution summaries.
  • Outstanding currency estimates.
  • Redemption analytics.
  • Department reward leaderboards.
  • Event prize templates.
  • Historical circulation archives.
  • Department-specific reporting.
  • Barcode or QR code support if ever required.
  • Digital audit logs.
  • Expanded administrative dashboards.

These features are not required for a successful launch.

Instead, they represent future opportunities if the organization decides to expand the program.

The foundation being built today is intended to support those features without requiring the reward system to be redesigned from the ground up.
